Use this window to view and edit a Contract Management user's information, to specify access (security) settings for a Contract Management user, and to assign access templates to the user.
The name of the user whose information you want to view or edit. If you are using LDAP for user authentication, this field is not available. The rest of the fields in this dialog box apply to this user.
User Information:
Use this section to enter information about the user.
Click to display a security report displaying the templates and projects the user is assigned to. You can print the report. No report is available for Contract Management administrators because they do not have project access.
Enter the user's first name. This field is required.
Enter the user's last name. This field is required.
Enter the user’s job title.
Use these fields to specify this user's full phone number and extension.
Enter the user's company name. This field is required.
Enter the user’s initials. This field is required.
Enter a login password for this user. The user must enter this password each time Contract Management is opened. If the user does not need to use a password, leave this field blank. If you are using LDAP for user authentication, this field is not available.
Enter the Contract Management database you want this user to use when logging in. This field is required.
Enter the user’s e-mail address.
If no e-mail address is entered, the user will not be able to e-mail Contract Management documents.
Enter the user’s fax number.
Enter the user’s cell phone number.
Enter the user’s pager number.
Mark this checkbox to require the user to enter a new password at the next login. If you are using LDAP for user authentication, this field is not available.
Mark this checkbox to prevent this user from logging in.
An administrator can clear this checkbox to enable a user to login to Contract Management if the user has been locked out.
Mark this checkbox to give this user administrator level security access rights (this is the same as marking all Permissions checkboxes in the User Level Access section). If you mark this checkbox, all checkboxes in the User Level Access section are disabled because they are automatically selected.
This affects attachments only. Choose Yes if this user will use Contract Management while connected to your company's network. This allows them to locate and attach files that exist on the network, not just the local drive. The client machines MUST have the same drive letter mappings as the Contract Management Web server machine for this to work properly, otherwise the attachments will not be found.
Choose No for users who will use Contract Management without being connected to the company's network. In this case, files will be uploaded from the client machine to the Contract Management Web server.
If you are not sure, or if the user will sometimes be connected, choose Yes. The user can then set the option in the User Settings dialog box for each session.
User Level Access:
Mark the checkboxes to give the user rights to perform the functions indicated.
Mark this checkbox to give this user the capability to remove current Contract Management users from the User List.
Mark this checkbox to give this user the ability to view the current user’s in Contract Management .
Mark this checkbox to give this user the ability to define alerts.
Mark this checkbox to give this user the ability to define cost codes.
Mark this checkbox to give this user the capability to define and create new custom fields throughout Contract Management .
Mark this checkbox to give this user the ability to define distribution lists.
Mark this checkbox to give this user the ability to define document acronyms and titles.
Mark this checkbox to give this user the ability to define the reporting currency.
Mark this checkbox to give this user the ability to define document reference types.
Mark this checkbox to give this user the ability to create letter templates.
Mark this checkbox to give this user the ability to define bid packages.
Mark this checkbox to give this user the ability to define change document reason codes.
Mark this checkbox to give this user the ability to define daily report dictionaries (such as temperature, precipitation, wind, and so on).

Mark this checkbox to give this user the capability to add new views. If this user is not given rights to add views, the New option is removed.

Mark this checkbox to give this user the capability to delete views. If this user is not given rights to delete views, the Delete option is removed.
Mark this checkbox to give this user the capability to edit and move items in the Project View.
Mark this checkbox to give this user the capability to edit views. If this user is not given rights to modify views, the Modify option is removed.
Mark this checkbox to give this user the capability to transfer views. If this user is not given rights to transfer views, the Transfer option is removed.
Mark this checkbox to give this user the capability to add layouts.
Mark this checkbox to give this user the capability to delete layouts.

Mark this checkbox to give this user the capability to transfer layouts to another database.
Templates:
This section shows which access templates are assigned to this user.
Click to open the Select Template dialog box to assign access templates to the user.
Click Unselect to remove an access template from this user.
If you are a Contract Management administrator, you must be assigned to a template, but you always have full access to all projects regardless of the access settings in the template.
Projects:
This section shows which projects this user has access to.
Click to open the Select Projects dialog box, in which you can select projects to assign to the user. The permissions configured in the access template selected above are applied to the project for this user.
You must have an access template assigned to this user to open the Select Projects dialog box.
Click to assign all projects to the user. The permissions configured in the access template selected above are applied to the projects for this user.
The database the project is in.
Lists the projects that the user has permissions to work with.
The access template (set of rights) assigned to the project for this user.
If you are a Contract Management administrator, you cannot select projects because you always have full rights to all projects.
