Create or Copy a Distribution List

To create a distribution list:

  1. Click distribution_lists_define.bmp from the Company Directory log window to open the Distribution Lists dialog box.

  2. Click add_button_on_a_tab.bmp to open the Add Distribution List section of the Distribution Lists dialog box.

  3. Enter an Abbreviation code of up to 12 characters and a Title for the list.

  4. Click select_button_on_tab.bmp to open the Select Contacts dialog box to choose the Contacts you want to include in the list. Click Save to close it.

  5. Click save_and_return_to_menu.bmp. The distribution list appears in the dialog box. Click the docpencilicon.bmp icon to open the list to add more Contacts to it if necessary.

  6. Click close_2_button.bmp when you are finished entering Contacts. You can now use the list when selecting Contacts to distribute document to.

To copy a distribution list to a new distribution list:

You can create multiple distribution lists from an existing one by doing the following:

  1. Click distribution_lists_define.bmp from the Company Directory log window to open the Distribution Lists dialog box.

  2. Select the distribution list you want to copy by clicking the save_asicon.bmp icon.

  3. Enter an Abbreviation of up to 12 characters and enter a Title for the new list.

  4. Click save_and_return_to_menu.bmp. A new list appears with the code and title you entered.
